quince@quince.co.ukwww.SeeMyData.com is a web based system that provides tenants with easy but secure access to the data held by their housing organisation. Examples are Rent Statements, Repair History and Transfer information.
1. What are the basic features of www.SeeMyData?
www.SeeMyData currently encompasses the following facilities:
- Secure login facility - customers are required to provide their rent account number, pin number, surname and two randomly chosen characters from a favourite word. This security can be changed to your chosen method, if required.
- Rent Statement - shows a balance and historical transactions for a time period chosen by your organisation e.g. a year. The transaction descriptions are translated by SeeMyData to be tenant friendly.
- Repairs History - shows the completed and in progress repairs for a tenant's dwelling. Usually organisations only wish tenants to see repairs for the period of their tenure rather than a full history for the property.
- Repairs Logging - enables tenants to log repairs. Tenants need to indicate the type of the repair - e.g. plumbing and a description of the issue. Graphics can be provided to help the tenant choose their repair type, if required. The tenant receives an automatic confirmation email. Your organisation will also receive an email to a specified address and/or a file of information that could be uploaded to your housing system. For larger organisations, emails can be split by areas and directed to the relevant member of staff.
- Transfer Information - provides the customer with confirmation information about their transfer request, when they make one. This will show information based upon the type of housing system in place, e.g. a points system or a choice based lettings system.
- Services Menu - the items on this menu are of your own choosing. A form is designed for each item on the menu using a very simple form builder, which is incorporated within SeeMyData. We can provide full assistance with forms building. Examples of useful forms are: - request for direct debit form, request for visit by housing officer, advice of environmental issue, request for a rent statement.
2. How does www.SeeMyData work?
- SeeMyData extracts information from your housing system via prepared routines or an ODBC link. This is done outside of working hours, usually once per day via a timed event, although it can be carried out more frequently if required. This means any changes made within your Housing management system are picked up each time the data extraction takes place, keeping tenants abreast of the position of their data as at the end of business on the previous day. The data is then transferred to the SeeMyData server.
- SeeMyData can interface to any Housing Management System. Preparation of some simple extraction procedures may be required. Quince Associates Limited can assist in the preparation of the procedures or carry out this exercise for you.
- It is also possible for SeeMyData to provide information to be imported into your Housing Management System. A good example of this is Repairs that have been logged by a tenant on the web site. As well as confirmation emails to the tenant and Housing staff a file of data can be provided which could be imported. Academy is an example of a system which has a standard interface for such a purpose.
3. How is www.SeeMyData hosted?
- Quince Associates Limited is very flexible regarding the implementation of SeeMyData and will accommodate your IT requirements. To date we have carried out the following styles of implementation:
- Quince Associates Limited hosts the full service. Your organisation's data is transferred to one of our servers. This solution provides for good security, as users of the system do not have any access to your operational systems.
- The service is hosted on a web server using an organisation of your own choosing. Quince Associates Limited will implement the full solution in conjunction with your chosen supplier.
- The service is hosted on a server within your own organisation. Quince Associates Limited will implement the full solution in conjunction with your IT supplier.
- On one occasion we provided the SeeMyData code to an organisation that spliced it into their web site.
